Department Description
Allica's Product teams own the end-to-end product experience across Payments, Financial Crime, Lending, Deposits, Digital Tools and much more - working daily with a wide range of third-party suppliers whose services are woven into the heart of what we build. Managing those relationships well is a competitive advantage, and it's governed by Allica's Third-Party Risk Management (TPRM) framework, with active review cycles running quarterly to annually.
You'll be the person who keeps Product's supplier relationships running like clockwork - spotting what needs attention before it becomes a problem and giving the team the confidence that nothing's falling through the cracks. Working closely with TPRM, Compliance, Legal and Procurement teams, you'll build a reputation as the go-to person who makes things happen across the business.
Role Description
As Supplier Coordinator/Analyst, you'll be at the centre of how Product manages its suppliers - making sure Allica stays on top of every review, renewal and requirement across a fast-growing supplier estate, in line with our TPRM framework.
This is an individual contributor role built for someone who thrives on staying ahead of things: you're the person Product comes to for a clear answer on what's due and what's outstanding, and the one who catches a licence, renewal or review before it becomes due.
Principal Accountabilities
- Own the administrative lifecycle of periodic supplier reviews (quarterly, bi-annual, annual depending upon tier) - chasing and collating required inputs from suppliers and internal stakeholders
- Draft review paperwork and flag obvious risks or gaps for the Product Owner to assess and sign off
- Track outstanding actions arising from reviews through to closure, so nothing falls through the cracks between cycles
- Track licence and contract renewal dates across the Product supplier estate and raise renewals in good time
- Complete renewal paperwork and liaise with Legal and Procurement teams
- Raise ad hoc requests such as additional licences or user seats for platforms as needed by the team
- Keep supplier records accurate and up to date in internal systems, acting as the source-of-truth checkpoint for audit and review purposes
- Identify repetitive data-collection tasks across the review cycle and build automation or templates to reduce manual effort
- Act as the go-to point of contact for Product individuals on all things supplier management, coordinating directly with internal teams
- Support new vendor onboarding administration - coordinating legal and compliance approvals and owning the onboarding process end to end, while the Product Owner/tribe lead retains ownership of budget and contract terms
- Document and monitor the data sources shared with vendors, maintaining an accurate, easily queryable record (e.g. via Gatekeeper) in place of ad hoc spreadsheet exercises, working closely with Product Owners who hold the detailed knowledge of what is shared
- Support the tracking and management of Data Protection Impact Assessments (DPIAs) linked to supplier data sharing, ensuring assessments are current and reviewed on schedule
- Apply controls around requests to extend or add new data sources shared with suppliers, ensuring appropriate sign-off is obtained before any extension
Personal Attributes & Experience
- Some exposure to supplier, vendor or contract administration, ideally within a regulated or financial services environment
- Highly organised with strong attention to detail; comfortable chasing multiple stakeholders and suppliers without letting things slip
- Confident with Excel and internal systems (e.g. Confluence, JIRA); quick to pick up new tools
- Clear, professional written and spoken communication
- A proactive, practical problem-solver who flags issues early rather than waiting to be asked
- Comfortable working to a framework and escalating and resolving ambiguous or edge cases
